Administrative Assistant
Jennifer Temps is seeking an experienced Administrative Assistant to support a high-volume regulatory office environment in Syracuse, NY. This role requires strong organizational skills, knowledge of compliance-based reporting systems, and the ability to manage multiple priorities in a structured public-sector setting.
Your Tasks
Key Responsibilities
- Prepare reports and handle information requests
- Prepare correspondence, schedule meetings, arrange conference calls, and receive visitors
- Manage presurvey packets, FOIL requests, and waiver tracking
- Maintain facility roster and mortality databases
- Track incident reports and surveillance documentation
- Utilize ASPEN, ACO, HCS, and ACTS systems
- Upload CMS documentation and generate QIES Casper presurvey reports
- Prepare Life Safety Code reports
- Process 2803d abuse cases to DLA
- Track CAN training programs and emergency response requests
- Prepare and close complaint letters (survey, complaints, PSRs)
- Perform data entry and maintain paper/electronic filing systems
- Maintain up-to-date program information in log books and tracking systems
Our requirements
Minimum Qualifications
- Minimum 5 years’ experience working for the New York State Department of Health
- High School Diploma or equivalent
- Minimum 2 years’ experience in a professional office setting
- Excellent working knowledge of Microsoft Office (Word, SharePoint, Excel)
- Ability to enter and extract data from electronic databases
- Strong organizational and reporting skills
- Ability to manage multiple shifting priorities
- Strong grammar, spelling, and written communication skills
Preferred Qualifications
- Microsoft Office certification
- Experience working in ASPEN, HCS, QIES
- Experience with CMS uploads, SODs, and DLA processes
- Experience in surveillance or regulatory documentation
